This case study highlights the solution we designed for a fleet management company that was struggling to track their fleet and generate accurate data needed to efficiently reconcile driver payments based on their tracked activities.
What were their challenges:
The owner of the fleet management company was struggling with a lack of organized and accurate information.
Much of his time was spent manually managing data in Excel, which often led to human errors and inaccuracies.
These issues made it challenging to process driver payrolls efficiently.
Additionally, drivers were frequently taking longer than expected to complete trips without providing valid reasons.
The management lacked reliable data to address these inefficiencies, further complicating the process.
Solution:
We developed a comprehensive solution by installing Qualcomm GPS devices in the fleet.
These devices were configured to send location coordinates every two minutes whenever the truck moved.
Using this API data, we built a system that allowed administrators to create trips by adding pickup and drop-off points, along with additional delivery points as needed.
Trips could then be assigned to drivers, enabling real-time tracking of their progress.
The management team began receiving automated notifications through geo-fencing as soon as a truck departed from the pickup point or arrived at its destination.
Additional alerts were triggered if a truck stopped for more than 15 minutes or deviated from the designated route.
This system ensured better oversight of operations, allowing the team to address any issues in real-time.
With all trip data now centralized in the system, we also implemented features for tracking driver attendance and working hours. This information was seamlessly integrated into payroll generation, significantly improving accuracy and efficiency.
Transformation:
- Real-Time Truck Tracking: Management can now monitor trucks in real-time and accurately communicate delivery times to clients.
- Emergency Alerts: The system provides instant notifications in case of emergencies, such as when a truck remains stationary for more than 15 minutes.
- Accurate Payroll Processing: Payroll accuracy has been significantly improved, reducing the time and effort required for calculations.
- Lower Operational Costs: Streamlined processes and automation have led to a noticeable reduction in operational expenses.
