Case Study | Fleet Management Company

This case study highlights the solution we designed for a fleet management company that was struggling to track their fleet and generate accurate data needed to efficiently reconcile driver payments based on their tracked activities. Book Strategy Call What were their challenges: The owner of the fleet management company was struggling with a lack of organized and accurate information. Much of his time was spent manually managing data in Excel, which often led to human errors and inaccuracies. These issues made it challenging to process driver payrolls efficiently. Additionally, drivers were frequently taking longer than expected to complete trips without providing valid reasons. The management lacked reliable data to address these inefficiencies, further complicating the process. Solution: We developed a comprehensive solution by installing Qualcomm GPS devices in the fleet. These devices were configured to send location coordinates every two minutes whenever the truck moved. Using this API data, we built a system that allowed administrators to create trips by adding pickup and drop-off points, along with additional delivery points as needed. Trips could then be assigned to drivers, enabling real-time tracking of their progress. The management team began receiving automated notifications through geo-fencing as soon as a truck departed from the pickup point or arrived at its destination. Additional alerts were triggered if a truck stopped for more than 15 minutes or deviated from the designated route. This system ensured better oversight of operations, allowing the team to address any issues in real-time. With all trip data now centralized in the system, we also implemented features for tracking driver attendance and working hours. This information was seamlessly integrated into payroll generation, significantly improving accuracy and efficiency. Transformation: Real-Time Truck Tracking: Management can now monitor trucks in real-time and accurately communicate delivery times to clients. Emergency Alerts: The system provides instant notifications in case of emergencies, such as when a truck remains stationary for more than 15 minutes. Accurate Payroll Processing: Payroll accuracy has been significantly improved, reducing the time and effort required for calculations. Lower Operational Costs: Streamlined processes and automation have led to a noticeable reduction in operational expenses. Ready to Build Something Exceptional?

Case Study | Automobile

This case study highlights how we addressed the challenges faced by automotive dealers in Dellas, Texas, closing trade-in deals with customers who brought in vehicles that the dealership already had in excess on their lots, making it difficult to finalize the transactions. Book Strategy Call What were their challenges: Automobile dealerships in the USA often struggle to convert trade-ins when their lots are already stocked with similar vehicles. This excess inventory prevents them from accepting additional trade-ins, causing them to miss out on opportunities to sell their existing stock. Additionally, car owners in the USA frequently face the challenge of not having an easy way to determine the accurate value of their vehicles. Solution: We developed an online auction platform tailored for car dealerships across the United States, revolutionizing the trade-in process. With our solution, dealerships can easily scan a vehicle's VIN (Vehicle Identification Number) to instantly determine its value and list it for auction. Other dealerships with matching filters or interests are promptly notified and can participate by placing bids on the vehicle. Once the auction concludes, the originating dealership can seamlessly finalize the trade-in process and transfer the car to the winning bidder. Additionally, our platform is designed to cater to retail users, providing them with a seamless way to determine their car's value. By simply scanning their VIN, users can instantly access accurate valuations. Retail users can also list their vehicles for auction on the platform, opening up opportunities to receive offers from both other retail users and dealerships. This approach ensures an efficient and transparent process, benefiting all parties involved and simplifying vehicle transactions. Transformation: Dealers experienced higher trade-in conversions and increased inventory sales. Lot turnaround accelerated, leading to greater revenue growth. The solution created a win-win scenario for dealerships. Retail users gained the ability to easily determine their car’s value, list it for auction, and accept offers from potential buyers. Case Study | Education

This case study highlights our solution for helping educational institutions seamlessly manage their academic activities, streamline student data, and improve communication. Our approach enhances operational efficiency, fosters better engagement with students and staff, and simplifies the overall management process for educational organizations. Book Strategy Call Challenges: During the COVID-19 pandemic, educational institutions were forced to transition to digital solutions, and SchoolGurus played a key role in addressing various challenges in this new era of remote learning. 1. Online Exam During COVID: As schools shifted to online assessments, the process of conducting exams became a significant challenge. Teachers had to upload exam papers at a specified time, while students submitted their answer sheets simultaneously in PDF format. This system worked well, but a challenge arose when it came to downloading the answer sheets from all students at once. Initially, the process was cumbersome, but the solution was found by grouping the sheets for easier downloading, ensuring teachers could efficiently grade them. 2. Uploading of Online Lectures: Another challenge was the need to upload lectures in various formats, such as PDFs, videos, or audios, to ensure students had access to the content in a way that worked for them. Teachers had to upload these materials in a timely and organized manner, while students required easy access to download the lectures. Managing this process for various subjects and ensuring smooth access for students was a key issue that required efficient systems to handle multiple file types and formats. 3. Gmeet Feature During COVID: With the rise of virtual classrooms, platforms like Google Meet became essential for live interactions. During COVID, an additional challenge was to provide teachers and students with the ability to quickly set up and attend virtual classes. SchoolGurus created a feature that allowed admins to send quick Google Meet links to students through the website. However, this feature was discontinued after the pandemic, as the reliance on other video conferencing tools increased. 4. Designing of Student Report Card One ongoing challenge has been the frequent changes in report card patterns required by the Central Board of Secondary Education (CBSE). Whenever the board changes the marking pattern, the team redesigns and updates the student report card.SchoolGurus took on the task of ensuring these updates were managed efficiently, making sure that the report cards for all sessions were in line with the new guidelines, every year. 5. Marks Entry Pattern: The CBSE would occasionally revise the marking patterns, which posed a challenge for managing the records. SchoolGurus addressed this by adapting their system each year to ensure that teachers could enter marks in the newly prescribed formats, guaranteeing that the school’s grading system stayed compliant with CBSE guidelines. 6. Student Promotion: Student promotion to the next academic session also presented challenges, particularly when it came to proper distribution of students across classes. Based on student performance (percentage), it was essential to shuffle and assign students to sections that would help optimize their learning experience. This was a complex task, requiring detailed analysis of student data to ensure a balanced distribution across different sections of the class. 7. Yearly-wise Data Management: Managing yearly academic data posed another challenge. SchoolGurus needed to create databases that tracked student performance and academic patterns on a yearly basis. This required organizing vast amounts of information, from attendance to exam results, and ensuring it was easily accessible for reporting and administrative purposes. The solution was to create a structured database that managed yearly data efficiently, making it easy to track and report progress over time. Solutions Implemented by SchoolGurus 1. Online Exam During COVID: The process for conducting online exams involved several steps: teachers would upload the exam papers at a specified time, students would submit their answer sheets simultaneously in PDF format, and then the teacher would download the answer sheets, evaluate them, and upload the students' marks. Initially, the system faced challenges in downloading all the answer sheets at once, especially with a large number of students. To resolve this issue, SchoolGurus introduced a method of grouping the answer sheets, allowing for smoother and more efficient downloads. This change helped ensure that teachers could easily access all submitted answer sheets without delays. 2. Uploading of Online Lectures: In terms of content delivery, teachers were required to upload lectures in various formats—PDFs, videos, or audios—based on what was most appropriate for the subject matter. This solution ensured that students had multiple ways to access learning material, whether through reading, watching, or listening. Students were given easy access to these lectures, allowing them to download the resources and study at their own pace. This flexibility in content formats supported various learning preferences, helping students engage with the material more effectively. 3. Gmeet Feature During COVID: During the pandemic, one of the key challenges was facilitating live classes. To overcome this, SchoolGurus implemented a feature allowing administrators to quickly send Google Meet links to students directly from the website. This feature simplified the process of scheduling and attending virtual classes. However, with the shift to other video conferencing platforms, the feature was eventually discontinued after COVID. Despite its discontinuation, the integration of this tool during the pandemic helped ensure that teachers and students could continue their classes with minimal disruption. 4. Designing of Student Report Card Whenever CBSE (Central Board of Secondary Education) would alter the report card format, requiring schools to redesign their report cards to align with the new guidelines. SchoolGurus tackled this by designing new report cards for each session based on the CBSE's latest requirements. The system ensured that the report cards for all academic sessions were appropriately structured and in compliance with the prescribed format, enabling smooth and accurate reporting of students' academic performance. 5. Marks Entry Pattern: Along with report card modifications, the process of entering marks also changed based on session- specific guidelines issued by the CBSE. SchoolGurus implemented a system that adapted to these yearly changes in the marks entry pattern, ensuring that teachers could enter grades following the updated

Case Study | Automobile

This case study highlights how we helped auto dealerships streamline the process of posting their inventories on Facebook Marketplace, both through APIs and alternative solutions when Facebook discontinued marketplace partnerships with vendors. Dealerships faced significant challenges in manually posting inventories using personal Facebook accounts, which required additional manpower and increased costs. Furthermore, leads generated through these postings were managed via personal accounts, preventing integration with the dealership's CRM. This lack of a centralized system made lead management inefficient and hindered overall operations. Our solution addressed these issues, enabling dealerships to post inventories and manage leads effectively while maintaining centralized control. Book Strategy Call Challenges: After Facebook discontinued posting to Facebook Marketplace using feed files on January 30th, 2023, dealerships across the USA faced a major challenge. With the change, their only option was to post inventory manually through personal accounts. This new process required dedicated staff to manage the posts in the office, leading to increased workload and inefficiencies. This shift created widespread panic as dealerships saw a significant drop in leads, which directly impacted sales. To cope with the situation, many dealerships assigned their sales representatives the additional task of posting inventories to Facebook Marketplace. However, this solution proved inefficient and costly. Sales reps, already drawing high salaries, were burdened with a tedious task they were reluctant to perform. The situation was further complicated by the need to manage multiple Facebook accounts and respond to chats across various profiles. This led to disorganization and chaos, as managing these accounts became increasingly difficult. The lack of structure not only hindered operations but also caused frustration among team members, exacerbating the overall challenge. Solution: The client, an approved Facebook Marketplace partner, was providing services to dealerships to post inventories and manage leads on Facebook Marketplace through APIs. We had designed a seamless system that enabled car dealerships to post on Facebook Marketplace effortlessly, with all leads efficiently managed via business page APIs. However, when Facebook discontinued its Marketplace partnership program, dealerships were restricted to posting on the Marketplace using personal Facebook accounts. This change disrupted the existing process, creating challenges for dealerships to manage their inventory and leads effectively. We developed an automated process to post 20–23 inventories daily to Facebook Marketplace. This ensured that the inventory was consistently updated, helping generate leads at scale. Additionally, we created a browser extension to streamline the posting process. This extension allowed dealers to manage posts directly from their computers with ease, simplifying the entire workflow. Once the posting issue was resolved, a new challenge emerged: managing leads. Since inventory was posted through personal Facebook accounts, leads were being routed to individual Messenger accounts. There was no API available to centralize these leads, creating a significant gap in the process. To address this, we implemented an additional layer of technology by building a unified web and mobile platform for sales teams. This platform allowed all leads from various Facebook accounts to be managed through a single application, streamlining the lead management process. Although the added layer introduced a minor delay of 4–5 seconds in message delivery, dealerships readily accepted this trade-off for the efficiency and organization it provided. This solution not only streamlined lead handling but also enhanced productivity across sales teams. Transformation: Cost-Effective: Sales representatives can now focus entirely on selling, rather than spending time posting on Facebook Marketplace. Increased Leads and Sales: Dealerships experienced a surge in leads, which translated into higher sales. Happier Sales Teams: Sales reps are relieved of the tedious task of posting on Facebook Marketplace, leading to improved morale. Enhanced Lead Management and Transparency: A centralized platform ensures better organization and complete visibility into lead handling. Ready to Build Something Exceptional?
